Privacy Policy

How we collect, use, and protect your information when you use TapOkie.

Last updated: February 22, 2025

1. Who We Are

TapOkie ("we," "our," or "us") operates the TapOkie mobile application and related services, which help you stay connected with your chosen contacts through simple daily check-ins and optional safety alerts. This Privacy Policy describes how we collect, use, store, and protect your personal data (personally identifiable information, or PII) when you use our app and services. For privacy-related questions or requests, contact us at support@tapokie.com.

2. Data We Collect

We collect only what is necessary to provide and improve our services.

  • Account data: When you register, we collect your email address or phone number (with country code), timezone, and a password you set. If you sign in with Google, we receive your email and basic profile information from Google to create or link your account.
  • Profile data: First name, last name, date of birth, and gender, which you provide when setting up your profile.
  • Emergency contacts: For each contact you add (first name, last name, phone number with country code, relationship, and optionally email and preferred alert language). Contacts may be verified by OTP sent to their phone or email.
  • Check-in data: The fact that you checked in, the date and time (in UTC), and optionally your device location (latitude and longitude) at the time of check-in if you have allowed location access.
  • Location data: If you enable location sharing, we may receive and store location updates (latitude, longitude, timestamp) sent from your device to our servers so we can include your last known location in alerts to your contacts when you miss a check-in or use the emergency button, as you have configured.
  • Schedule and preferences: Your check-in schedule (e.g. 24-hour window or custom times), skip dates, and pause state so we can send reminders and determine when alerts are needed.
  • Device and push: A push notification token (e.g. Firebase Cloud Messaging) and device platform (iOS or Android) so we can send you check-in reminders and in-app notifications.
  • Technical data: We may log information such as IP address, device type, and app version for security, troubleshooting, and service operation. We do not use third-party analytics or crash-reporting SDKs in the app.

We store this personal information (PII) on our systems to operate the service. Because we hold personal data/PII, we provide you with control over it: you may delete your account at any time from within the app. Account deletion results in the removal of all personal data and PII we hold associated with your account, as described in Sections 7 and 9 below.

3. How We Use Your Data

We use your data to:

  • Create and manage your account and profile.
  • Store and manage your emergency contacts and send them SMS alerts (and optionally location) when you miss a check-in or use the emergency button, according to your settings.
  • Record check-ins, send you reminders, and respect your schedule, skip dates, and pause settings.
  • Send push and in-app notifications (e.g. check-in reminders) using your device token.
  • Operate, secure, and improve our services and comply with applicable law.

4. Legal Basis (EEA/UK)

Where required by law (e.g. in the European Economic Area and the United Kingdom), we process your data on the basis of: (a) contract—necessary to provide the service you requested; (b) consent—where you have given consent (e.g. optional location sharing); and (c) legitimate interests—for security, fraud prevention, and improving our services, where those interests are not overridden by your rights.

5. Who We Share Data With

  • Your emergency contacts: When you miss a check-in or use the emergency button, we send SMS alerts to your verified contact(s). We may include your last known location in those alerts only if you have enabled that option.
  • Service providers: We use providers for hosting, push notifications (e.g. Firebase Cloud Messaging), and SMS delivery. They process data on our instructions and under agreements that protect your data.
  • Google Sign-In: If you sign in with Google, Google provides us with your email and basic profile information as permitted by your Google account settings.
  • Authorities: We may disclose data when required by law, court order, or to protect our or others’ rights and safety.

We do not sell your personal data or PII.

6. International Transfers

Your data may be processed in countries outside your residence. Where we transfer data from the EEA or UK to countries not deemed to provide adequate protection, we use appropriate safeguards (such as standard contractual clauses) as required by law.

7. Retention

We retain your account and profile data, contact information, check-in history, and location data while your account is active and as needed to provide the service and comply with legal obligations. After you delete your account, we delete or anonymize your personal data (PII) within a reasonable period, except where we must retain it for legal, security, or dispute resolution purposes.

8. Security

We use industry-standard measures to protect your data, including encryption in transit and access controls. You are responsible for keeping your password and device secure. We do not guarantee absolute security; we will notify you and regulators where required if a breach affects your personal data (PII).

9. Your Rights

Depending on where you live, you may have the right to:

  • Access the personal data (PII) we hold about you.
  • Correct inaccurate data.
  • Request deletion of your data.
  • Receive a copy of your data in a portable format (data portability).
  • Object to or restrict certain processing.
  • Withdraw consent where processing is based on consent.
  • Lodge a complaint with a supervisory authority (e.g. in your country or region).

To exercise these rights, contact us at support@tapokie.com.

Account deletion. You may delete your account at any time from within the TapOkie app. When you do, we delete all personal data and PII we hold associated with your account, including your account and profile information, emergency contacts, check-in history, location data, and device tokens. Deletion is processed within a reasonable period. We retain only what we are required to keep for legal, security, or dispute resolution purposes, as set out in Section 7.

10. Children

TapOkie is intended for users aged 13 and older. We do not knowingly collect personal data (PII) from children under 13. If you are a parent or guardian and believe we have collected such data from a child under 13, please contact us and we will delete it promptly.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated policy on this page and update the "Last updated" date. For material changes, we may notify you by email or through the app. Continued use of the service after the effective date constitutes acceptance of the updated policy, except where your consent is required by law.
